thesirlife (“SIR”) keeps Your personal information safe and secure, and only uses it for the purposes described herein and in the Terms of Use. We publish this policy explaining our online information practices and the choices You can make about the way Your information is collected and used so that You can make an informed decision about using and/or registering for an Account for the Services, and learn how Your use and/or registration may affect Your privacy. This privacy policy (“Privacy Policy”) applies to all SIR applications, product features, and other services enabled by such platforms (together the “SIR Services” or “Services”). This Privacy Policy applies to all information collected in connection with the Services.

In this Privacy Policy, the term “You” refers to the consumer using the SIR Services. By using the Services or providing information to SIR in connection with them, You acknowledge and agree to the uses of information described in this Privacy Policy.  Your use of the Services is also subject to our Terms of Use. The SIR application through which the Services are provided shall be referred to herein as the “Application.” 

The information we collect about You

Account information is information that is provided by You to us when You register online for an account (“Account”), including Your:

  1. Username and password

  2. Last name

  3. First name

  4. Email address

Additional information including, but not limited to information regarding how You interact with the Services may also be collected by us and linked to Your Account. This may include:

  1. Questions that You input into SIR’s chat functionality (See SIR AI privacy policy for details). 

  2. Other information You choose to provide, such as when You fill out a form; participate in a survey, assessment, or interactive area of the Services; or when You request technical or customer support. 

All of the foregoing shall be referred to as “Account Information.” SIR only uses such Account Information in connection with its operation of the Services and its administering of Your Account. 

Some of Your Account Information (as described above) constitutes Personal Information. “Personal Information” means any information that identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked, directly or indirectly, with a particular individual or household.

IP Address

Every computer connected to the Internet is associated with a unique numerical identifier, known as an Internet Protocol address (IP Address). When You access our Services, our servers need to know Your IP Address, which is sent automatically when information is requested by You. When logged in to your Account, we may associate Your IP Address with Your login. When You are not logged in, we do log Your IP Address, but do not automatically link Your IP address to any other information that would enable us to identify You. However, if it becomes necessary to enforce compliance with our Terms, or to protect our systems, other Users or third parties (e.g. patients), we may attempt to use the logged IP address with other information to attempt to identify You. In addition, we use IP Addresses to determine the approximate geographic location of the device You used to access the Services. 

AI Agent Privacy 

Information We Collect

We may collect the following types of information when you interact with our Chat Agent:

  • Personal Information: Information that can be used to identify you, such as your name, email address, or phone number, if you choose to provide it.

  • Non-Personal Information: Information that cannot be used to identify you, such as anonymized usage data, device information, and general demographic data.

  • Usage information: We may also collect information that your browser sends whenever you visit our Service or when you access the Service by or through a mobile device ("Usage Data").

  • Chat data: content shared with the Chat Agent

How We Use Your Information

We use the information we collect to:

  • Provide and improve the Chat Agent services.

  • Respond to your inquiries and provide customer support.

  • Analyze usage patterns to enhance user experience and personalization.

  • Ensure the security and integrity of our services.

  • Allow you to participate in interactive features of our Service when you choose to do so

  • Gather analysis or valuable information so that we can improve our Service

  • Monitor the usage of our Service

  • Detect, prevent, and address technical issues

Data for research and product improvement

We use minimal and only the required data for research purposes, including aggregated data for any publications. This data is completely anonymised using one-way hash functions prior to use. This helps us to improve our product and services and contribute to user-centered AI coaching best practices and including supervised Machine Learning. We may use anonymized conversation messages for research purposes and analysis. If at all, only limited messages get selected from specific AI Chat Agent endpoints and used. You can always write to us at hello@thesirlife.com to restrict processing and opt-out of your data for research purposes.

Guardrails on engagement topics

To maintain a supportive, positive, and healthy platform, our Chat Agent is programmed with guardrails to avoid engaging in discussions on sensitive, controversial, or inappropriate topics. This helps ensure that interactions remain constructive and respectful for all users.

Usage Data

We use data associated with Your use of the Services (“Usage Data”) to understand the online behavior of Users. In particular, using web analytics services on the Services enables us to measure, collect, analyze and report on Usage Data for the purposes of understanding and optimizing Users’ experiences on the Services.

How information is collected

Unless You provide Personal Information to us voluntarily or the information is collected by means of “cookies” in the manner described in this Privacy Policy, SIR does not collect information about You in connection with Your use of the Services. The Personal Information that SIR may have, and which enables us to provide the Services to You, includes, for example, Your Account Information.

Use of “cookies”: A “cookie” is a small piece of information about an Internet session that may be created and placed on Your computer when You access a web site. SIR uses cookies to facilitate easier navigation within its Application, to provide a higher level of convenience for You, and for administrative purposes. SIR does not use cookies for any other purposes. This information is not shared with any other party for any commercial purposes. You can set your browser (e.g. Microsoft Edge, Google Chrome) to notify You when a web site attempts to send a cookie. Your browser will allow You to decide whether or not to accept the cookie. If You choose to disable cookies in Your browser, You may not be able to take advantage of all the features of the Application. 

How information collected is used and protected

SIR respects your right to privacy. Any Account Information You provide to us in connection with the Services remains confidential.  SIR will only use the information collected from You to: provide the Services; address Your specific inquiries or requests; provide You better customer service; provide a record of communications between SIR and You; and comply with any applicable legal and/or regulatory requirements.

We may also de-identify and/or aggregate your Personal Information such that it no longer constitutes Personal Information. Such de-identified information may be used to report effectiveness of the Services, for Provider-wide reporting, and to improve performance of the Services. 

SIR has implemented security measures to protect against the loss, misuse or alteration of information stored in its systems. SIR strives to use reasonable physical, technical, and administrative safeguards (such as firewalls, encryption, identity management, and intrusion prevention and detection) to protect the information You share with us, but no data transmission over the Internet or data storage system is guaranteed to be 100% secure. If you have reason to believe that Your interaction with us is no longer secure (for example, if you feel that the security of your Account might have been compromised), please contact us immediately at the email address set forth below in the “Contact Us” section.

We retain your Personal Information for as long as necessary to provide you with the Services, and as otherwise required by law. This means that we keep your information for as long as you maintain an Account or until we process a request by you to delete your Personal Information (see the “Deleting Your Account” section below), whichever is sooner. We may retain Non-Personal Information for as long as we choose to do so.

Other access to information

Affiliates and service providers: Third party service providers that assist SIR in meeting the needs of its customers, may under certain circumstances receive Account Information collected from You as a user of the Services. Such information is disclosed only to respond to Your inquiries or requests, and to provide You with information about other products and services offered. Account Information will be treated by these entities with the same standards of privacy and confidentiality that SIR uses.

Other Third parties: SIR does not transmit any Account Information collected through the Services to any third-party marketers. 

Legal Issues: From time to time, SIR may be required to provide Account Information in response to a court order, subpoena, government investigation or as otherwise required by law. Company also reserves the right to report to law enforcement agencies any activities that SIR, in good faith, believe to be unlawful. SIR may disclose Your Account Information to government authorities at its discretion. SIR may release certain Account Information when SIR believes that such release is reasonably necessary to protect the rights, property and safety of others or itself. 

Third party websites

This Application may contain links to third-party websites that You may find useful. Once you leave this application, SIR will not receive any of your information. Except to the extent required to provide services that You request, SIR does not provide any of Your information to any third-party website. These third-party web sites may have their own privacy policies. You should review the privacy policy of any website before You provide personal or confidential information.SIR is not responsible for the content of these other websites or any business You transact or information You share with them.  

Your Rights Regarding Your Information

SIR enables You to access, control, and delete Your Personal Information. This section explains the ways You may exercise these rights.

A. All Users in the United States and Canada 

The information below applies to all beta users of the Services in the United States and Canada:

Account Profile. You can add, remove, and edit certain information You have added to Your Account profile. To do this, log in to Your Account, then navigate to Your account settings.

Location Information. You can enable and prevent Your device from sharing your location Information through its system settings. However, doing this may impact our ability to provide you with our full range of features and services.

Deleting Your Account. If You would like to delete Your Account, please contact us, as set forth below. In your email, please provide your full name, email address,, and the reason you are contacting us, so that we can verify your identity and process your request in an efficient manner. Without the aforementioned information, we will not be able to verify your identity and process your request. In some cases, we will be unable to delete your Account, such as if there is an issue with your Account related to trust, safety, or fraud. When we delete your Account, we may retain certain Account Information for legitimate business purposes or to comply with legal or regulatory obligations. For example, we may be obligated to retain your information as part of an open legal claim. When we retain such information, we do so in ways designed to prevent its use for other purposes and in compliance with applicable law.

B. Rights in Certain Jurisdictions

You may have certain rights with respect to Personal Information that we have collected and used if you reside in certain states. 

Right to Know. If You reside in California and Virginia, You have the right to know and see what Personal Information we have collected about you, including:

  • The categories of Personal Information we have collected about You;

  • The categories of sources from which the Personal Information is collected;

  • The business or commercial purpose for collecting Your Personal Information;

  • The categories of third parties with whom we have shared Your Personal Information; and

  • The specific pieces of Personal Information we have collected about You.

Right to Access and Receive Your Personal Information.  If You reside in California and Virginia, you have the right to request that we provide a portable copy of Your Personal Information we collect, use, and disclose. You can request a listing of the types and sources of Personal Information we have collected about you and how we use the information (e.g., our business or commercial purposes for collecting or selling personal information), other individuals and businesses with whom we share Personal Information.

Right to Correct Personal Information.  If You reside in California and Virginia, You have the right to request a correction of any inaccurate Personal Information, and we will use commercially reasonable efforts to correct this information, taking into account the nature of the Personal Information and the purposes of the processing of the Personal Information.

Right to Delete. You have the right to request that we delete the Personal Information we have collected from You (and direct our service providers to do the same). There are a number of exceptions, however, that include, but are not limited to, if we cannot verify Your identity, or when the information is necessary for us or a third party to do any of the following:

  • Complete Your transaction;

  • Provide You with the Services;

  • Perform a contract between us and You;

  • Detect security incidents, protect against malicious, deceptive, fraudulent or illegal activity, and prosecute those responsible for such activities;

  • Fix our system in the case of a bug;

  • Protect the free speech rights, including such rights belonging to You or other users, or exercise another right provided by law;

  • Comply with the California Electronic Communications Privacy Act (Cal. Penal Code § 1546 et seq.);

  • Engage in public or peer-reviewed scientific, historical, or statistical research in the public interests that adheres to all other applicable ethics and privacy laws;

  • Comply with a legal obligation; or

  • Make other internal and lawful uses of the information that are compatible with the context in which You provided it.

Right to Limit the Use or Disclosure of Sensitive Personal Information. California Residents have a right to limit the use or disclosure of sensitive Personal Information, including one’s precise geolocation, by us.

Right to Appeal. We may deny Your request if we cannot verify your identity or due to other unusual circumstances, which will be explained in our rejection notice. If You reside in Virginia, You have a right to appeal if your privacy rights-related request is denied in whole or in part.

Right to Non-Discrimination for the Exercise of Your Privacy Rights. We will not discriminate against any consumer for exercising their rights under the California Privacy Rights Act.

Virginia Consumer Data Protection Act De-identified Data Disclosure. We may use de-identified data in some instances. We either maintain such data without attempting to re-identify it or treat such data as personal data subject to applicable law.

Exercising these Rights. To exercise Your data privacy rights as set forth above, please contact us as set forth below. In Your email, please provide Your full name, email address, and the reason you are contacting us, so that we can verify your identity and process Your request in an efficient manner. Without the aforementioned information, we will not be able to verify Your identity and process your request. Certain state residents may designate an authorized agent to make a request on Your behalf. To verify that an authorized agent has authority to act for you, we may require a copy of a power of attorney or require that You provide the authorized agent with written permission and verify your own identity with us. 

Response Time. We aim to respond to a request for access or deletion within 45 days of receiving a verifiable request. If we require more time, we will inform You of the reason and extension period in writing.

Right to Change this Privacy Policy

SIR reserves the right to change or update this Privacy Policy at any time, and will notify users of the Services by posting such changed or updated Privacy Policy on this Application. Any changes or updates will be effective immediately upon posting through this Application.

United States Location

We operate out of the USA and are not currently storing Account Information on any international servers.
